Here is Beth’s Welcome Letter to interested parties:
There are a few different options for you as far as running your event:
- If you think you and your staff would want to run the event yourselves, you are more than welcome to do that – this is our most popular option. Here is what you’ll get:
- The Garage Games Series will handle the entire registration process for you, start to finish
- We’ll provide you with your own event page with all of your event details and information, announcements you need to make regarding the event and registration for both athletes and volunteers (Here’s an example: Garage Games ONE). We will assist you in setting up your event page and you will be given access to it to pull competitor info, add announcements, etc.
- We’ve worked really hard to bring some great sponsors on board and they are providing some really great prizes for your winners (usually 1st, 2nd, & 3rd place in EACH division). The bigger your event, the better the prizes!
- We’ve also created a Leader Board Tool that will allow your participants to see their scores and rankings live, during the event, as they are entered by your scoring person/people. The leaderboard will handle all of your scoring needs and will be personalized to your WOD names.
- Facebook advertising on our Garage Games Series site – currently, we have over 14,000 ‘likes’ so our page gets seen by a lot of CrossFitters around the country and your region (in addition we have regional Facebook pages that have been launched recently to tie in local competitors to their specific region).
- Access to our Constant Contact database of participants in your region and across the country. This is an email database of over 30,000 competitors.
- Our website has received upwards of 20,000 hits a week as well.
- Spectator Tickets seamlessly added to your event page utilizing pre-purchased tickets and a free app to scan them at the door.
- This option will be set up with a 75/25 split with 75% of every registration going back to you as the Event Host
- You will be responsible for:
- Providing all of the equipment for the event (there are Garage Games Series equipment pools stationed around the country so if you think you might need some extra equipment, we may be able to arrange getting some to you but it will be at your cost depending on distance and what you need).
- Obtaining the proper insurance for the event
- Designing all of the WODs for the event (we can assist with this if you like)
- Creating the heat schedules
- Volunteer/Judging assignments
- Entering scores on our scoring system during the event (this allows the athletes profile to be updated)
- If you would rather have our team come in and run your event for you, we’ll take care of all of the above but the split for that option is 15/85 with 15% of every registration going back to you
A few questions for you:
1. When you were hoping to hold this event?
2. What are your goals for number of participants?
3. Are you thinking of making this a one or two day event?
I’m just trying to get an idea of the scope of what looks like a great event based on what you’ve told me thus far. That should be enough information to get us started and I’m sure you’ll have more questions, so please don’t hesitate to ask away!
